What’s New: Dynamically Assign Fillable Fields in Documents & Contracts from Workflows​

You can now assign certain fillable fields in your Documents & Contracts templates dynamically, based on the workflow’s From user setting. This helps ensure the right person is assigned to sign (or complete) sender-based fields automatically when a workflow sends a document.

This is especially helpful for teams where multiple reps use the same contract template and need signing fields to match whoever is sending the document at that moment.

Overview​

Form tracking in SMBcrm now captures more than just basic contact details like name and email.

External tracking has been enhanced to detect, capture, and map custom fields from both SMBcrm-hosted forms and standard HTML forms, with improved field-level accuracy. This helps you collect the information you actually ask for on your forms and use it more reliably in follow-ups and reporting.

Managing date-specific availability in SMBcrm just got easier, especially when you need to adjust hours across multiple days like holidays, events, or short-term schedule changes.

You can now use your own custom fields and values directly inside Calendar-related settings across Calendars, Services, and Rentals. This makes it easier to personalize appointment experiences.

Overview​

SMBcrm now includes an improved phone number importer for Calendly appointments to help ensure contact phone details are captured correctly and saved to the right contact record.

If your invitee enters a phone number in the meeting location or submits it through a Calendly form question, SMBcrm can bring that number into the contact profile automatically or with a simple mapping choice, reducing manual cleanup after bookings.

What’s New in SMBcrm Workflows​

We’ve renamed and reorganized AI-related workflow actions to make them easier to find, understand, and use.

AI Actions category (updated names)​

All AI-powered actions previously grouped under the “Workflow AI” category are now consolidated under a clearer “AI Actions” category, with simplified names:

• AI Translate (formerly “Workflow AI - Translate content”)
• AI Summarize (formerly “Workflow AI - Summarize Text”)
• AI Intent Detection (formerly “Workflow AI - Intent Detection”)
• AI Decision Maker (formerly “Workflow AI - Decision Maker”)

Conversation AI category (new grouping)​

Workflow actions that were previously labeled as “AI Actions” but relate specifically to conversation-focused AI have been moved into a dedicated Conversation AI category for better organization.
